1. Start with a purpose

Define what you hope to achieve and how you will measure it. This may involve developing strategic priorities, identifying measurable outcomes, and creating a plan for follow-through accountability.

When crafting your objectives, consider what you want participants to understand, agree to, rally around, and ultimately act upon.

Communicate these objectives to your team beforehand.

2. Choose your co-travellers
While having a large group is more fun and diverse, it tends to be costly and might decrease team productivity. It's essential to align your objectives with your attendee list, and ask yourself whether the group of key individuals would be more effective in achieving your goals.

In big companies, it's recommended to invite the executive-level team first, get them aligned, and then strategize on the best approach for engaging the next level of employees.

Every participant should have the space to be focused, feel welcomed everyone, and see and understand the value of every participant.

3. Develop a plan

4. Location and Logistics


Logistics tend to be the hardest part of planning. There are endless options and multiple interests at hand. Start with the location. It should be chosen considering your goals, budget and company culture. You can first decide on where you want to go overall --  is it somewhere near the sea, a mountain experience, a vibrant city?

After choosing one or various location options, consider the logistics such as transportation, food, allocation, social events, meeting rooms and/or venues. All of this should be arranged well in advance, especially if you destination tends to be busy.

Communication and messaging are also an important part. All the messaging should be well-thought-out to communicate objectives, expectations, and the agenda. All the communication materials, templates, presentation, handout, should be created before the event.
5. Don’t do it all alone!


As you can see, there are many steps and factors to consider. Doing it on your own can be overwhelming. If the company structure allows, ask for feedback from the travelling team to gain insight on their preferred location or favorite activities.
